Zoho CRM for insurance agencies

Zoho doesn't know what a policy, a carrier, or a downline is until someone teaches it. I build Zoho CRM and Microsoft 365 around how agencies, IMOs, and RIAs actually run: every case from lead to renewal, every producer paid correctly, every record where compliance expects it.

How a case moves through the system

  1. Lead comes inFrom your website, a referral, or an agent. It's assigned by territory or product line, and follow-up tasks start on their own.
  2. ApplicationThe client folder builds itself in SharePoint or WorkDrive. Applications go out for e-signature and land back on the record.
  3. UnderwritingStatus is tracked by carrier and requirement. Agents see where their case sits without emailing anyone.
  4. Issued and placedThe policy becomes its own record, linked to the client, the carrier, the writing agent, and the premium.
  5. CommissionsSplits and overrides calculate up the hierarchy. Payout statements come from the system, not someone's workbook.
  6. Service and renewalPolicy anniversaries, reviews, and chargeback windows surface before they're missed.

What I build for agencies

Policies and carriers

Policy, carrier, and product records that fit your book of business, with the fields your team actually uses and nothing they don't.

Commissions and payouts

Splits, overrides, and upline rules configured once. Producers can see what they're owed, and finance can see how every number was reached.

Contracting and licensing

Appointments by carrier and state, license expiration tracking, and reminders early enough to do something about them.

Agents and hierarchies

Upline and downline visible from any agent record, and portals where external agents see their own cases and pay.

Documents and Microsoft 365

Client folders that create themselves, e-signed applications filed automatically, and Outlook and Teams connected to the record.

Compliance and data

Permissions that match who should see what, scheduled backups, retention rules, and audit trails you can hand over when someone asks for records.

Who this is for

  • Independent agencies that have outgrown spreadsheets or a basic CRM and want to own their system.
  • IMOs and FMOs managing downlines, contracting, and overrides across a lot of producers.
  • RIAs and financial firms with an insurance side that need both businesses in one system without mixing their records.

Common questions

Is Zoho CRM good for insurance agencies?

For most small and mid-size agencies, yes, as long as it's set up around insurance. Zoho doesn't include policy, carrier, or commission modules out of the box. Those get built to match your agency, which is also why it ends up fitting better than a generic setup.

Can Zoho handle commission splits and agent hierarchies?

Yes. Splits, overrides, and uplines are modeled in the CRM and calculated with Deluge, Zoho's scripting language, so payouts come from the system instead of a spreadsheet.

We're on AgencyBloc, Redtail, or spreadsheets. Can you move us?

Yes. Contacts, policies, notes, and activities can be migrated. Most of the work is mapping old fields to the new structure and cleaning up duplicates on the way in.

We run an insurance agency and an RIA under one roof. Can one Zoho system handle both?

Yes, with a permission structure that keeps each side's records separated to the standard it's held to. That separation is designed in from the start, not added later.

How much does it cost?

Every project gets a fixed price in writing before any work starts. The price depends on how many people use the system, how much data has to move, what it connects to, and how custom your process is. The first call is free, and it's usually enough to give you a real number.

Do you work with carriers or only agencies?

Agencies, IMOs and FMOs, and financial services firms. The systems are built for the people selling and servicing policies, not the carriers issuing them.
